CloudBooks – The Introduction of
Analytic Instrumentation (xAPI)

The Cloudware Lumos ‘Total Business Management and Accounting Platform’ is more than merely competitive and current, with its clearly-superior universal access, multi-platform, multilingual and collaborative features. Cloudware now raises the bar even higher as the first adopter in the industry of xAPI – the very latest in experiential user analytics instrumentation. *

This forward-looking innovation will offer customers enhanced evidence of compliance, options for procedural supervision, and collection of actionable management data. The initial concentrations for the Lumos xAPI module will be Human Resources, Asset Management, and Production Control.

Cloudware TBM xAPI MindMap Overview

* Cloudware is an adopter of the Advanced Distributed Learning Initiative (ADL) Experience API specification (xAPI – also known as ‘TinCan’).

Human Resources:

For the future, analytics of operations will enable better management of staff development, task assistance and training requirements. Employees can be recognized for their expertise and diligence, and CEOs will have more reassurance about day-to-day operations and be better able to focus on optimization.

Cloudware will gain insight into which pieces of the platform are being used by employees and staff, how frequently and how well they master the use of the modules that they engage with. This is closely linked to the issue of training methods, and the effectiveness of that training, which is what xAPI was originally developed for — therefore Cloudware and Lumos users can draw on a lot of knowledge from the adopter community about this.

In addition Lumos users should be able to draw close connections between their documentation (User Guides, Compliance directives, etc.), their Training materials and their workflow User Experience (UX), and compute suitable training intervention suggestions. This will be enabled and enhanced by xAPI instrumentation of the Document Manager.

.dware Analytics Reporting

Document Manager User data could support the monitoring of policy and operations initiatives, keeping track of the numerical data entered will give tremendous power to address issues, such as:

  • xAPI can be used to hire employees that think more like the owner/manager.
  • xAPI can look at experience, give the interviewer a list of questions, and/or have the interviewer read and answer a few computer questions then let xAPI see how close a match to what is required.
  • xAPI can then be used to measure employee growth in helping the company as a potential manager and then compare it to the result numbers.
  • xAPI can be used to see where additional training is needed and verify the training program in place.
  • xAPI can also help set up a training program by identifying knowledge gaps and non-compliance.

The bottom line is that xAPI helps all of the company’s employees be better prepared to be on the same page and work together to make the company more efficient and profitable more timely help and supervision from management..

Asset Management:

.The addition of xAPI to a company databases will allow analytics of operations to better manage all assets utilized by the business, and will afford the capability of improving efficiency in asset usage, life, efficiency, value and replacement.

For the discerning business xAPI will also be able to produce data management that affects the use of assets from the perspective of Tangible Personal Property taxes. Data that reflects the use of assets pertaining to the actual earnings of the business can be critical in providing evidence that can substantiate the lowering of tax liabilities..

.xAPI can be used as a Digital Management System (DAM) to record and track Digital Assets, and analytics operations will produce data that reflects the value of these assets in the business balance sheets. Analytic operations will manage tasks and decisions surrounding the ingestion, annotation, cataloguing, storage, retrieval and distribution of digital assets. Digital Assets, in the main, consist of animations, videos and music, and xAPI will manage the protocol for downloading, renaming, backing up, rating, grouping, archiving, optimizing, maintaining, thinning, and exporting files. xAPI will also apply to Media Asset Management (MAM), a sub-category of digital asset management mainly addressing audio, video and other media content.

Production Control:

.Analytics operations will be used for systematic planning, coordinating, and direction of all manufacturing activities and influences to insure having goods made on time, of adequate quality, and at reasonable cost. It will also provide data that can be used to reflect the efficiency of assets used to the production process, as well as providing raw data pertinent to time management and employee usage.

xAPI collected data can be used to generate test cases, and used as the only reliable way to accurately run tests repeatedly and consistently knowing that the input test data hasn’t changed. This would show the effectiveness of certain production processes as they pertain to the overall operations and creating areas of improvement that will increase the profitability of the manufactured goods.

Cloudware, Lumos and xAPI

Cloudware is working to include xAPI instrumentation throughout the Lumos Total Business Management and Accounting platform. xAPI statements will seek to incorporate actor identity, GPS location information and timestamp as well as the appropriate verbs and nouns that describe the user interface and program interactions.  Several other proprietary data attributes are also under development.
This will initially provide activity data in support of compliance and regulatory audits.
There will be a wealth of information available to Cloudware about how Lumos is actually being used, and how effective users are in operating the platform.

For the customer, Lumos will be able to offer information about the way work is done – not just the final results of it. For owners, executives, and CPAs there may be great potential to identify unusual or irregular activities, but also to examine the effect of policy or operational changes in more detail, for optimization.
